Staff Directory Inquiry
Here you can search for all active staff members, and filter staff members by role or any keyword you like. The staff directory has two views: Card View or List View.
You can edit any staff member by clicking the edit button on the Staff Card. To view staff details/profile, click on the View button present on the staff card. Staff profile provides 360* view of staff including complete profile, payroll, pay slip, allotted/applied/approved leaves, monthly/yearly attendance, uploaded documents and timeline. After staff retirement, you can Disable staff from the top right down hand red icon button. After disabling staff, their profile is marked as red in the background, and their login to iSMS is disabled. Disabled staff can be seen in Human Resources > Disabled Staff.
You can also add staff leaving date and resignation letter from staff edit. Staff members can be deleted after disabling them. To add new staff members, click on the “Add Staff” button on the top right corner of this page. Enter Staff ID, select Role (which can be managed from System Settings > Roles Permission), Designation, Department, First Name, Last Name, Father Name, Mother Name, Gender, Marital Status, Date Of Birth, Date Of Joining, Phone, Emergency Contact Number, Email, Photo, Current Address, Permanent Address, Qualification, Work Experience, Note(s), EPF No (Employee Provident Fund Number), Basic Salary, Contract Type, Work Shift, Location, Number Of Leaves, Bank Account Title, Bank Account Number, Bank Name, IFSC Code, Bank Branch Name, Facebook URL, Twitter URL, LinkedIn URL, Instagram URL, Upload Resume, Joining Letter and Other Documents, and then simply click on Save button.
iSMS also allows you to record staff attendance. Select Staff Role, Attendance Date and click on the Search button. Now, you can see the staff list, select attendance ratio button for Present/Late/Absent/Half Day options, and enter any relevant notes, if you like, and then simply click on the “Save Attendance” button to submit attendance. If you mark selected date as “Holiday”, then click the “Mark As Holiday” option. If attendance has been already submitted, you will get a message of “Attendance Already Submitted – You Can Edit Record” – in this case, you can still edit existing attendances.
Staff Attendance report:
iSMS also provides a staff attendance report that keeps track of each staff member’s individual Presences, Late Days, Absences, Half Days, Holidays, as well as the entire staff as a whole.
Here, the monthly salary of staff members will be generated. Simply select Role, Month and Year, followed by clicking the Search button to see staff members, and their payroll status. Now you can see the staff list, the Status section will show you their see current salary status.
Payroll has three statuses:
1) Not Generated: If their status is “Not Generated”, you can click the Generate Payroll button to do so
2) Generated: if their status is “Generated”, you can click the Proceed To Pay button.
3) Paid: if their status is “Paid”, you can “View Pay Slip” by clicking the button in the the action column.
If the status is Generated or Paid, you can still revert it back to the previous status.
Now click on Generate Payroll button from Action column.
The Action Column lets you see and manage Staff Profiles, Attendance, Approved Leave details.
In the Earning column, add Earning Type and Amount, followed by entering the deduction amount in the Deduction column, and entering the Deduction Type.
The top right corner Attendance Section lets you view each month’s Attendance and Approved Leave details. Based on this, you can calculate the individual deduction for each staff member. Furthermore, in the Payroll Summary column, you can enter any tax if applicable. Finally, click the Calculate button to calculate “Net Salary” amount and click the Save button to save this salary generation.
Once you come back on the payroll page, and check the staff member’s Payroll Status for the same month, it should finally be “Generated” and in the action column, you will find the Proceed to Pay option available – clicking this will pay the generated salary to the staff member.
After clicking the Proceed to Pay option, you can view the Staff Member, their Net Payment Amount, Month/Year. Simply select the Payment Mode through which you pay your salaries, followed by clicking on the Save button.
A final view of the payroll page for this staff member will show their status as “Paid”. Furthermore, in the Action column, you may View Payslip and print it, if needed.
You can also view a monthly report for your Payroll Slips. Simply select Role, Month/Year, and click on Search.
Approve Leave Request:
Here, you can view, approve or manually submit staff leave requests. Click the View icon button on the Action column to see details of applied leave request. Now at this popup window, you can see details of every leave request, and change its status to Approve/Disapprove/Pending and enter any Notes, if needed, followed by clicking on the Save button. To add leave requests manually, click on “Add Leave Request” from the top right corner. Here, select Role, Staff Name, Apply Date, Leave Type, Leave Date, Reason, Notes, Attach Document and Status of leave request then click on Save button.
To apply for a Leave, logged in staff users can apply/view leave request themselves. To view applied leave applications, click on the View icon in the Action column. To apply for a leave, click on the “Apply Leave” icon in the top right corner.
You may enter Leave Type, Name of Staff, and click the Save button. All existing Leave Type can be seen on the right side of this page.
To add, view or change a Department, enter Department Name, and click on the Save button. All existing Departments can be seen on the right side of this page.
You can view all Disabled Staff members here. Click on any staff member to see their profile. On their profile page, you will have the option to “Delete Staff” – by doing so, all their data will be deleted. To Enable any Disabled staff, click on the green color “Hands Up” icon.
